Who we are

NenoBooks provides online bookkeeping services to businesses in the USA, UK, Australia, New Zealand and Europe. For anything in this policy, contact us at info@nenobooks.com.

Where UK or EU data protection law applies, NenoBooks is the controller for information about visitors to this website and about the people we correspond with. For the bookkeeping records we process on a client's behalf, the client is normally the controller and NenoBooks acts as a processor under the engagement agreed with them.

What we collect

Information you send us

Our contact form asks for your name, email address, business name, country, business type and your message. We use it to reply to you and to work out whether we can help.

Client and financial records

If you become a client, we process the records needed to keep your books: bank and card transactions, invoices, bills, receipts, payroll summaries and similar documents, plus access to the accounting software you already use — for example Xero, QuickBooks, FreshBooks, Wave or Sage. We ask for read-only access wherever the platform supports it.

Usage information

We use Google Analytics 4 to understand how the site is used — pages viewed, approximate location derived from IP address, device and browser type, and how you arrived. Our web host also keeps standard server logs, including IP addresses, for security and diagnostics.

Why we process it, and our legal basis

• To reply to enquiries — our legitimate interest in responding to people who contact us, or steps taken at your request before entering a contract.
• To deliver bookkeeping services — performance of our contract with you, and compliance with legal obligations such as tax and accounting recordkeeping.
• To keep the service secure — our legitimate interest in preventing fraud, abuse and unauthorised access.
• To measure and improve the website — consent where required in your jurisdiction, otherwise our legitimate interest in understanding what visitors find useful.

Who we share it with

We do not sell your information, and we do not share it for advertising. We use a small number of service providers who process data on our behalf:

International transfers

We serve clients across several countries and some of our providers are based outside the UK and European Economic Area, including in the United States. Where personal data is transferred outside those areas, we rely on an appropriate safeguard such as the UK International Data Transfer Agreement or the European Commission's Standard Contractual Clauses.

How long we keep it

Enquiries that do not become engagements are kept only as long as needed to deal with them and for a reasonable period afterwards. Client bookkeeping records are kept for the term of the engagement and then for the period required by the tax and company law that applies to that client — commonly six years or more. Analytics data is retained according to the retention window configured in Google Analytics.

How we protect it

We use encrypted connections, access limited to the people who need it, read-only software access where the platform allows it, and secure channels for documents. No system is perfectly secure, but we will tell you and the relevant regulator about a personal data breach where the law requires it.

Cookies

This site sets cookies through Google Analytics to measure usage. It does not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings, and Google publishes a browser opt-out add-on. Blocking them does not stop you using the site.

Your rights

Depending on where you live, you may have the right to ask us for a copy of your personal data, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

Email info@nenobooks.com and we will respond within the time the applicable law allows. If you are in the UK you can complain to the Information Commissioner's Office; in the EEA, to your national supervisory authority. We would rather hear from you first so we can put it right.

If we hold your information because we do bookkeeping for a business you deal with, that business is usually the controller, and we will pass your request to them.

Children

This site and our services are intended for businesses. We do not knowingly collect information from children.

Changes to this policy

If we change how we handle personal data, we will update this page and the date at the top. Significant changes affecting clients will be communicated directly.
